Position Description:

This position will support a local leading Lincoln Harris team with the necessary marketing and customer-focused activities to increase brand awareness, customer loyalty and retention, and property operations for the Highwoods owned, Lincoln Harris managed portfolio.

MARKETING/EVENTS

Serve as the day-to-day liaison between the Charlotte market team and Lincoln Harris/Highwoods corporate marketing, ensuring the scope and direction of each project is on schedule

Communicate with building customers regarding building maintenance projects, events, parking updates, etc.

Assist with the creation/content/accuracy of property marketing campaigns/materials, including but not limited to brochures, emails, website, floor plans, posters, stacking plans, and directories

Assist with scheduling and coordinating customer and property events and activities, including seasonal and holiday décor

Schedule building lights and after-hours HVAC as needed

Coordinate customer move-ins/outs, order new customer welcome gifts, and distribute new move-in information upon lease execution and/or arrival in building

Collaborate and partner with Charlotte market team members to achieve business goals

Attend regular meetings between Highwoods corporate marketing and Lincoln Harris team to project updates

Liaison for customers when booking conference/co-working spaces

ADMINISTRATION/OPERATIONS

Assist with maintaining files for property staff

Sign keys in/out for vendors

Maintain property, customer, vendor, and contact listings for Property Management

Maintain updated Certificates of Insurance, W-9 Forms, and Emergency contact(s) for each vendor

Assist with processing invoices for payment and maintain a schedule of invoices due per the accounting calendar

Maintain information as required for accurate use of work order system; create work orders

Assist in the preparation of third-party documents; service/vendor contracts; construction contracts; and project documents

Coordinate signage requirements and signage vendor for all signage needs

Prepare and submit annual budgets in accordance with ownership deliverables (operating/events/marketing & advertising budgets)

Handle mail daily and ensure mail on Monday is obtained as early as possible so invoices can be completed and to corporate Tuesday morning

Oversee “Safe-Guarding” of facility during evening, catered events

Coordinate Security, Janitorial, and Engineering requests for all events

Complete weekly property inspections

Handle other duties as assigned


Position Requirements:

EDUCATION/REQUIREMENTS

  • Bachelor’s degree
  • Strong computer skills:
    • Excellent working knowledge of MS Office (Word, Excel, Outlook, and PowerPoint)
    • Some experience with Creative Suite publishing programs (InDesign, Photoshop, and Illustrator)
  • Experience working in commercial real estate a plus
  • Self-starter, creative thinker with problem-solving capabilities
  • Well-organized and detail oriented
  • Versatile/flexible with the ability and willingness to take on new responsibilities and tasks as requested
  • Excellent interpersonal and communication skills
  • Dedicated to customer satisfaction with a readiness to handle customer concerns and processes, as well as unexpected emergencies
